Getting paid with Square (Tap to Pay, fees, payouts)

QuoteMate takes card payments through Square. You can tap a card or phone on-site with Tap to Pay, or send the customer an online payment link on the invoice. No card reader and no monthly hardware rental.

Tap to Pay on-site

Tap a customer's card or phone straight on your device to get paid the moment the job's done — usually ready about 30 seconds after you finish. It accepts Visa, Mastercard, Amex, Apple Pay, and Google Pay.

What you need:

  • An iPhone XS or later on iOS 16.4+, or an NFC-capable Android phone.
  • A Square account connected to your ABN.
  • The QuoteMate app.

Online payment links

Every invoice can carry an online payment link so the customer can pay by card from their phone or inbox. When they pay, the invoice is marked paid automatically, a receipt is emailed, and the GST is logged for your BAS.

Fees

Two fees apply to a card payment: Square's own processing fee, and QuoteMate's platform fee. QuoteMate's platform fee drops when you're on Pro.

As a rough guide, the total cost of acceptance in-person on Pro is about 3.1% (Square ~1.6% + QuoteMate 1.5%). Lowering the QuoteMate fee is one of the reasons tradies upgrade to Pro.

Both fees come out of your payout — nothing is added to the customer's bill. Your customer always pays exactly the quoted amount.

Can I pass the card fee on to the customer?

No. The Reserve Bank has removed card surcharging on eftpos, Mastercard and Visa from 1 October 2026, so QuoteMate no longer offers a surcharge option (the old "Pass Card Fees to Customer" toggle has been retired). If card costs matter to your margin, build them into your pricing the same way you would fuel or insurance.

Payouts

Funds usually clear to your bank the next business day. Same-day deposits are available from Square for an extra fee.

Refunds

Refunds are handled through Square, not inside QuoteMate — there's no refund button in the app. Process the refund from your Square account. (Note: deposits may be non-refundable once work has started or materials are ordered, per your quote terms.)
